Office Coordinator

TBA Leicester is part of a multi-national group of companies and promotes a creative and dynamic work environment is looking to recruit an Office Coordinator on a 12 month maternity cover in Leicester to help ensure the the TBA Leicester office is a fun, safe and productive work environment for our team of 100 + members by making sure that office operations run smoothly and efficiently.

What are we looking for?

As the office coordinator you will support the managing director and helps streamline and coordinate calendar and travel arrangements. This is a pivotal role in ensuring our office runs smoothly.

  • Strong organisation and time management
  • Previous office management experience
  • Previous experience supporting senior stakeholders including Managing Director
  • Ability to multi task and previous experience working in a fast paced environment
  • Previous experience running daily operations of an office
  • Understanding and experience of HR
  • About the role

    In the role of Office Coordinator, you will have a mix of Office Management and MD (Managing Director) assistance responsibilities.

Through our innovative software, we produce market leading, large-scale, distribution and supply chain software products used by customers worldwide.

    What you will be doing;

  • Taking ownership of all daily office operations and procedures
  • Coordinate the practical onboarding of new employees
  • Liaise with IT to organise laptops, phones, keys, alarm fobs for staff/new starters
  • Liaise with HR to ensure all people systems and files are up to date and accurate and in compliance with GDPR standards. Complete and file employment contracts, on and offboarding documentation along with other HR support tasks
  • Monitor and order office supplies and handling office contracts
  • Ensure that the TBA Office complies with UK Health & Safety standards and regulations
  • Help organise company events like Christmas Party, Lunches and celebrations
  • Help manage the calendar of the Managing Director by coordinating and setting up meetings on his behalf
  • Act as a point of contact if Managing Director is not available and manage information flow in a timely and accurate manner
  • Providing support with travel arrangements, booking flights and hotels for Managing Director
  • Preparing expense reports
